How to use Meeting Cost Calculator
- Open "Quick Presets" and load one of five meetings (Engineering Standup, 1-on-1 Manager Sync, Sprint / Architecture Review, Executive Leadership Review or All-Hands Company Townhall), or edit the default table.
- In the Attendee Salary Tiers table, fill Group Role / Title, Count and Annual Salary ($) for each group; the Hourly ($/hr) and Subtotal columns calculate themselves. "Add Attendee Group" appends a row.
- Choose "Working Hours / Year": 2,080, 1,920 or 1,800, which sets how salary converts to an hourly rate.
- Read the four metric cards (Total Attendees, Cost Per Minute, Avg Cost Per Person / Hr, Annual Cost if Weekly) and the Efficiency Indicator.
- Press "Start Meeting" for a live cost ticker and timer, then "Copy Meeting Report (Markdown)" or "Download Cost Badge (PNG)".
Worked example
Load the 1-on-1 Manager Sync preset: one manager at $165,000 and one direct report at $120,000, on 2,080 hours. Hourly rates are 79.33 and 57.69, giving 137.02 per hour, 2.28 per minute and 68.51 per person. A weekly one-hour session costs 137.02 x 52 = $7,125 a year. Cost per minute is under $5, so the label is Optimal.

Important limitations
Calculations assume a standard 2,080 annual working hours baseline (40 hours/week over 52 weeks) unless custom hourly rates are configured. Ticker metrics represent estimated employee compensation cost and do not include office overhead.

Frequently asked questions
How is the hourly rate of a person worked out?
Annual salary divided by the selected working hours per year, with no benefits, tax or overhead added. Real employer cost is normally higher than pay alone, so treat the total as a floor rather than a full cost.
What do the efficiency labels mean?
They only compare the cost per minute with fixed thresholds: below $5 is Optimal, up to $15 Standard, up to $40 Attention and above that High Impact. These bands are a rule of thumb from the tool, not an industry standard.
Why is Annual Cost if Weekly not affected by meeting length?
It always assumes a one-hour session held 52 times, computed as the hourly total times 52. A thirty-minute weekly meeting costs half that figure, and the working-hours setting does not change this multiplier.
Can I remove all salary groups?
No. At least one row must stay, and Count cannot go below 1. Salary is floored at zero, although the input asks for at least 10,000.
Does the ticker survive pausing or a page reload?
Pause and Reset control the timer while the page is open. Nothing is saved, so a reload returns the table to its defaults and the clock to zero.
